Polyref Terms of Service

Welcome to Polyref. Polyref is operated by Deeplit Ltd (t/a Polyref), a company registered in Ireland. These Terms of Service ("Terms") govern your use of Polyref, including our website, applications, APIs, and related services (the "Service").

By creating an account, clicking to accept these Terms, or using the Service, you agree to these Terms. If you do not agree, please do not use Polyref.

A few important points to keep in mind:

1. Accounts and Access

You are responsible for maintaining the security of your account and credentials and should not share them with others.

If you use Polyref on behalf of an organisation, you confirm that you are authorised to accept these Terms on its behalf.

2. Your Content and Data

You retain ownership of any content you upload or submit to Polyref, including documents, prompts, queries, annotations, and other materials ("Your Data"). We do not claim ownership of Your Data.

You grant us a limited licence to host, store, process, reproduce, and use Your Data solely as necessary to provide, maintain, secure, and improve the Service.

We may collect usage data (including logs), which may be aggregated or anonymised, to monitor performance, improve reliability, and support the operation of the Service. We may also use anonymised data, including usage patterns and interactions, to train and improve AI models. You can opt out of AI training at any time through your account settings or by contacting us.

You are responsible for ensuring that you have all necessary rights and permissions to upload and use Your Data with the Service.

3. Output and AI Results

Polyref uses AI to generate summaries, citations, recommendations, and other outputs ("Output").

As between you and Polyref, you retain rights in Outputs generated for you to the extent permitted by applicable law.

You are responsible for reviewing and deciding how to use any Output. AI-generated results may be inaccurate, incomplete, or outdated and should be independently verified. Your use of AI-generated outputs is also subject to our Research Disclaimer, which forms part of these Terms.

4. Third-Party Data and Sources

Polyref relies on third-party data sources and external services, including services such as OpenAlex, to provide metadata, citations, links to research publications, and other related information.

We do not own or control third-party data or third-party content and make no representations regarding its accuracy, completeness, licensing, availability, or continued availability.

Some third-party sources may impose their own terms, conditions, or restrictions on how their data, metadata, or content may be accessed, used, reused, or redistributed. It is your responsibility to ensure that your use of any third-party data, metadata, linked content, or external materials complies with applicable terms, licences, and laws.

We are not responsible for any third-party content, external platforms, publications, or other materials accessed through or referenced by the Service.

5. Intellectual Property

The Service, including its software, design, features, branding, and trademarks, is owned by Deeplit Ltd or its licensors and is protected by applicable intellectual property laws.

Except as permitted by law or with our prior written permission, you may not copy, distribute, modify, reverse engineer, resell, or otherwise exploit any part of the Service.

Nothing in these Terms transfers ownership of the Service to you. You retain ownership of Your Data and Outputs, subject to the rights granted in these Terms.

6. Payments and Subscriptions

Certain features of the Service may require a paid subscription. Paid plans are billed in advance.

Price changes

We may change pricing, subscription plans, or features from time to time. Any price changes will not affect your current billing period and will only apply from your next renewal date. We will give you reasonable advance notice of any price changes. If you do not agree to the new pricing, you may cancel your subscription before the change takes effect.

Cancellation, refunds, and right of withdrawal

You can cancel at any time from your account settings. Cancellation stops future renewals, and you retain access until the end of your current billing period.

You have the right to withdraw from your purchase within 14 days of the transaction without giving a reason. If you request access to the Service during this period, you acknowledge that the Service will begin immediately. If you exercise your right of withdrawal after the Service has begun, we may deduct an amount proportionate to the Service provided up to the time of withdrawal, as permitted by law.

In addition, if you cancel within 7 days of your initial charge or a renewal, you may be eligible for a full refund for that period, provided you have used less than 25% of your usage credits (for monthly plans) or less than 10% of your usage credits (for annual plans) during that billing cycle. Refunds are not available after 7 days from the charge date or once the applicable usage threshold has been exceeded.

Payment failures

If payment cannot be completed or remains overdue, we may suspend or restrict access to paid features of the Service.

7. Privacy

We handle personal data in accordance with our Privacy Policy, which explains how we collect, use, and protect personal data.

By using the Service, you acknowledge that personal data will be processed as described in our Privacy Policy.

Your use of the Service may involve processing by third-party AI service providers, as described in our Privacy Policy.

8. Acceptable Use

We want Polyref to be useful, reliable, and safe for everyone. You agree not to use the Service in ways that undermine that.

You must not use Polyref to:

  • break the law or violate the rights of others
  • upload content that you do not have the right to use
  • attempt to gain unauthorised access to systems, accounts, data, or infrastructure
  • scrape, overload, disrupt, or interfere with the Service
  • bypass safety, access, or usage restrictions

You must also not:

  • attempt to reverse engineer, decompile, or extract the underlying models, prompts, system behaviour, APIs, or other non-public aspects of the Service
  • attempt to manipulate or bypass safeguards, including through prompt injection, adversarial inputs, or similar techniques
  • attempt to cause the Service to reveal confidential information, system prompts, proprietary data, or other internal information
  • attempt to access data belonging to other users or any sensitive internal data
  • use the Service in a way that is abusive, fraudulent, deceptive, or harmful to the integrity, security, or reliability of the platform

You must not misrepresent AI-generated output as verified, authoritative, or human-authored research where that would be misleading.

9. Disclaimers

The Service and any Outputs are provided on an "as is" and "as available" basis.

For specific disclaimers relating to AI-generated outputs, see our Research Disclaimer, which forms part of these Terms.

The Service may include data, metadata, links, or other materials sourced from third-party providers, including services such as OpenAlex. We do not control and are not responsible for the accuracy, completeness, licensing, or availability of any third-party data or content.

We make no guarantees that any data, metadata, content, or features will remain current, complete, accurate, or available at any given time.

We may update, modify, suspend, or discontinue parts of the Service at any time, including features or functionality.

10. Limitation of Liability

To the fullest extent permitted by law, Deeplit Ltd and its officers, employees, contractors, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenues, data, goodwill, or business opportunities arising out of or related to your use of the Service.

Our total liability for any claim arising out of or relating to the Service or these Terms will not exceed the amount you paid to us for the Service in the 12 months before the event giving rise to the claim.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law.

11. Indemnity

You agree to indemnify and hold harmless Deeplit Ltd and its officers, employees, contractors, and affiliates from and against any claims, damages, liabilities, losses, costs, and expenses (including reasonable legal fees) arising out of or related to:

  • your use of the Service in violation of these Terms
  • your use of the Service in violation of applicable law
  • any content you upload, submit, or use through the Service
  • any infringement, misappropriation, or violation of third-party rights caused by your use of the Service

This indemnity applies only to the extent permitted by applicable law.

12. Security and System Integrity

To protect the security and reliability of the Service, you must not attempt to bypass, disable, test, or otherwise interfere with its normal operation, including through jailbreaking, reverse engineering, credential abuse, automated misuse, or other unauthorised technical manipulation.

If we detect or reasonably suspect such activity, we may investigate and take appropriate action, including restricting, suspending, or terminating access to the Service.

Where access is revoked due to confirmed misuse or security interference, fees paid are non-refundable except where required by law.

13. Termination

You may stop using the Service or delete your account at any time. Some data may be retained after account deletion as described in our Privacy Policy.

While we hope we never need to restrict or terminate access, we need to outline situations where this may occur.

We may suspend or terminate your access to the Service where reasonably necessary, including, but not limited to, the following circumstances:

  • you breach these Terms
  • you fail to pay applicable fees
  • your use creates risk, harm, or potential legal exposure for us, other users, or third parties
  • we are required to do so to comply with applicable law or regulatory obligations
  • we reasonably believe your use is abusive, fraudulent, or interferes with the operation of the Service

We may also suspend or terminate access for other operational, security, business, legal, or risk-management reasons where appropriate.

We may take such action with or without prior notice where appropriate.

Where your access to the Service is suspended or terminated due to a breach of these Terms, including misuse of the Service, unauthorised access, or attempts to interfere with or reverse engineer the Service, we may suspend or terminate your access without refund, except where required by applicable law.

On termination, your right to use the Service will end. Some data may be retained as described in our Privacy Policy. Provisions that by their nature should survive termination will continue to apply, including those relating to intellectual property, disclaimers, limitation of liability, indemnity, payments due, and dispute resolution.

14. Governing Law and Disputes

These Terms are governed by the laws of Ireland.

You agree that any disputes arising out of or in connection with these Terms or the Service will be subject to the exclusive jurisdiction of the courts of Ireland, except where applicable consumer law provides otherwise.

15. Changes to These Terms

We may update these Terms from time to time.

If we make material changes, we will make this clear on our website or through the Service. By continuing to use the Service after updated Terms take effect, you agree to the revised Terms.
